Frequently Asked Questions
Questions we hear all the time.
Straight answers to the things people ask before they reach out. If something is not covered here, the best next step is a quick conversation.
Understanding the Basics
CRM stands for Customer Relationship Management. But that label undersells what it actually is. At its core it is the system that tracks every interaction your business has with a lead or a client: who they are, where they came from, where they are in the process, and what needs to happen next.
What most people do not realize is how broad the term actually is. Depending on how it is built and configured, a CRM can handle:
- Lead tracking and pipeline management
- Automated follow-up: email, text, voicemail
- Appointment scheduling and calendar management
- Estimates, contracts, and invoices
- Team task assignment and accountability
- Reporting on sales activity, ad spend, and rep performance
- Social media scheduling and publishing
- Reputation management and review requests
When someone says “we have a CRM” it can mean anything from a glorified spreadsheet to a fully connected command center for the business. The difference is almost always in how it was set up.
HighLevel is an all-in-one business platform built for small and mid-size businesses. CRM, automation, scheduling, communication, social media, reporting. It all lives in one place rather than spread across five or six separate tools.
CCS builds on it because it is highly adaptable to the variety of businesses we work with, it is a better price point for small and mid-size businesses than most comparable setups, and when it is configured correctly it gives an owner real visibility into what is actually happening in their business.
We have a fuller explanation of what HighLevel can actually do on our Systems and Automation page, worth a read if you want to understand what you are actually getting.
No. If you are coming in through the Operations and Strategy side, looking at your back office, your people, your process, your structure. The platform you are on may not matter right away. That work is about understanding how your business actually runs and building a plan to make it run better.
HighLevel becomes part of the conversation when it is the right tool for what you need. We will tell you honestly if and when that is the case.
Not at all. We hear this more than you might think. When we talk to people who have had a bad experience with HighLevel, the story is almost always the same: they were handed a template without instruction, charged for things they did not need, or left to figure it out on their own.
HighLevel is an easy system if you like CRMs and technology. If you are not a tech person, it is much better to have someone build it to fit the way you actually work and then learn it from there. That is exactly what CCS does.
If you have had a bad experience, we would rather hear about it than have you assume it will happen again. That conversation usually tells us a lot about what you actually need.
Working with CCS
No. Neither service is a required gate to the other. Some clients come in needing a system built and that is where we start. Others come in knowing something is broken in how the business operates and that is where we start. Some need both and we figure out the right order together.
The Introduction Call is where we sort that out. We come in, listen, and tell you honestly what we think makes the most sense for where you are.
That is completely fine. You do not have to engage both sides of what CCS does. If you need your operation looked at and a plan built. That is a complete engagement on its own. If you need a system built and you already have clarity on what you need. Same thing.
That said, most clients find that over time they end up touching both sides. That is normal and it is exactly why CCS is set up the way it is. But there is no pressure to do more than what makes sense right now.
Small to mid-size businesses, solo operators up to teams of around twenty to thirty.
We work with a variety of business types and industries. What matters more than the type of business is the owner or lead team behind it. CCS is a good fit when there is an honest recognition that something needs to change and a genuine readiness to do something about it. We are not here to drag or convince. We are here to partner with people who are ready to move and walk with them as they do.
It depends. If you are brand new and still figuring out your core offer and who you serve, the timing may not be right for a full systems build yet. Getting those fundamentals right first usually makes the build more effective.
That said, some early stage businesses benefit enormously from getting the right systems in place early, before bad habits and workarounds take root. We will be honest with you about whether the timing makes sense and what the right first step actually is.
In most cases, yes. HighLevel connects natively with a wide range of tools and platforms. For others, connections can be made through third party integration services. And in some cases the conversation becomes whether you still need that tool at all once HighLevel is set up correctly.
We look at what you are currently using early in the process so we can build around it or recommend a cleaner setup, whichever actually makes more sense for your business.
Yes. CCS does not hand off a system and disappear. We stay connected in the background to make sure things are running the way we all agreed and planned. If something is not performing the way it should, we find it and fix it. If something that made sense in the build does not play out in practice, we course correct.
As the business grows and changes, the system needs to grow with it. We are here for that too. The specifics of ongoing support are scoped based on what makes sense for each client.
We will share our honest assessment. Not every business is the right fit for CCS and not every situation is one we are best positioned to help with.
When that happens we do not just leave you without options. We have people we know, like, and trust in areas where we are outside of our scope. If we are not the right fit, we will point you toward someone who is.
Asking if HighLevel is the best CRM is a little like asking if Apple is better than Android. Depending on who you ask and what they need, both answers are right. There are a lot of solid CRM options out there and each has its strengths.
What matters more than which one is “best” is which one is the right fit for how your business actually works and what you need it to do. HighLevel is what CCS builds on because of how well it adapts to the variety of businesses we serve. But the honest answer is always: it depends. That is part of what the conversation is for.
Getting Started
It is a 20-30 minute no-pressure conversation. No pitch, no slide deck, no follow-up sequence waiting on the other end. We get to know each other, hear where you are and what is going on in the business, and figure out together whether working with CCS makes sense.
If it does, we talk about what the right next step looks like. If it does not, we tell you that too.
Because a number without context would not mean much. The work CCS does is customized to what each business actually needs, which means the scope, the timeline, and the investment all depend on what we find when we get in there.
A price on a website says dollars but it does not tell you what you are actually getting or whether it fits what you need. A conversation does. That is why we start there.
It depends on the scope. A Business Assessment and roadmap typically takes a few weeks. A systems build varies based on how much is being built and how complex the workflows are. Some builds come together in a few weeks, others take longer.
What we commit to is being clear about timeline before we start and keeping you in the loop throughout. No surprises and no disappearing acts.
Schedule an Introduction Call. That is it. No forms to fill out, no homework to do first, no need to have everything figured out before you reach out. Show up and tell us where you are. We will take it from there.
You can schedule directly at the link below, send us an email, or call us. Whatever feels right.
